Privacy Policy

Last updated: 23 August 2026

This policy explains what happens to your data when you use Aitek, where it goes, and how to delete it. Aitek is a personal assistant that runs on WhatsApp, so most of the flow is between you, WhatsApp and us. This is not legal advice.

Who we are

We are the team that operates Aitek. You can reach us with questions or requests directly on WhatsApp.

What we collect

Your WhatsApp number and, if you share it, your WhatsApp profile name; the name, timezone and language you tell Aitek; the reminders and important dates you create; the durable facts the assistant remembers about you; a bounded window of your most recent messages; and your email address if you signed in on the web. We also keep usage counters — how many reminders, how many AI requests, an estimated cost. Those are numbers, not content.

What happens to your messages

An incoming message is sent to our AI provider to be understood, and a bounded window of recent messages is kept as context. We do not keep a full message history: the window is capped and expires automatically. The model's reasoning is never stored — only structured application state.

Voice messages

Voice notes from Pro users are downloaded securely from Meta's servers, transcribed in memory, and the audio is discarded without ever being written to disk. Only the resulting text is kept, in the same bounded window as any other message.

Images

Photos and screenshots from Pro users are processed in memory, sent to a vision-capable model in a single request, and not stored. Only the extracted description enters the conversation window.

Memory

Aitek can store durable information you give it, so it can help you better later: your name, your timezone, the reminder time you tend to choose, people you have told it about and how they relate to you. This belongs to you. On WhatsApp you can ask "what do you remember about me?", say "forget what you know about X", or say "clear everything you remember". In your dashboard's Settings you can view the list, delete individual items, or switch memory off entirely — and switching it off does not only stop new entries, it erases what is already stored.

Google Calendar

If you choose to connect your calendar, we ask Google only for permission to read, create, update and delete events. Your refresh token is stored encrypted on our servers, is never sent to your browser, and is used only to carry out something you asked for. Disconnecting from your dashboard both deletes our copy and revokes the grant with Google.

The services we use

Aitek relies on: the WhatsApp Business Platform (Meta) to deliver messages; Google Cloud / Firebase for authentication and storage; Vercel to run the application; OpenAI to understand messages, transcribe audio, read images and generate spoken reminders; Google Calendar, only if you connect it; PostHog for product analytics that contain no personal data; and Sentry for error tracking. Some of these providers process data outside your country.

Analytics and error reports

Events sent to PostHog pass through an allow-list: reminder text, message content, transcriptions, image contents, phone numbers, names and memory values are never sent. Error reports sent to Sentry are scrubbed the same way, with request bodies, cookies and authorization headers removed entirely.

Retention

The conversation window and the assistant's working state are short-lived and expire automatically. Reminders and important dates stay until you delete them or close your account. Audio and images are never retained. Usage counters are kept in monthly periods.

Exercising your rights

From your dashboard's Settings you can view, correct and delete your data. Deleting your account also deletes your reminders, important dates, memories, conversation state and usage records. You can also just message us on WhatsApp.

Children

Aitek is not designed for anyone under 18.

Changes

When we update this policy we change the date above. If something material changes, we will tell you on WhatsApp.
